Tailoring Your Resume to a Job Description in 20 Minutes

To tailor a resume to a job description, extract the posting's top requirements, map each one to something you have already done, then rewrite your top bullets so the evidence uses the employer's own vocabulary. Done deliberately, it takes about twenty minutes per application and is the highest-return step in a job search.

Why does tailoring beat volume?

Screening is a matching problem. Recruiters search their tracking system for the phrases in the requisition, and hiring managers skim for the three things they care most about. A generic resume sent to forty companies matches none of them precisely. Five tailored applications routinely outperform fifty generic ones.

Minutes 0–5: extract the requirements

Paste the posting into a plain document and mark it up:

• Circle every hard skill, tool, and certification named
• Underline the responsibilities repeated in more than one place
• Note the metrics the role is accountable for

The repeated items are the real job. The long tail at the bottom of the posting is usually a wish list.

Minutes 5–10: map your evidence

Build a two-column list. Left column: each top requirement. Right column: the specific project, number, or outcome from your history that proves it. Gaps are useful information — if three of the top five requirements have no evidence, that posting is a stretch and your time is better spent elsewhere.

Minutes 10–17: rewrite the top bullets

Only the first three bullets of your most recent role need heavy editing. Use the pattern action verb + what you did + measurable result, and adopt the posting's phrasing where it is honest to do so.

Before: Responsible for improving the deployment process.

After: Rebuilt CI/CD pipelines in GitHub Actions, cutting mean deploy time from 34 minutes to 6 and eliminating rollback incidents for two quarters.

Minutes 17–20: verify coverage

Check three things before you submit:

1. Each of the posting's top five requirements appears somewhere in your resume
2. The job title in your summary is close to the posting's title
3. The structure still parses cleanly — one column, standard headings, real text

What should you never change?

Dates, titles, employers, and outcomes. Tailoring means choosing which true things to emphasize and how to phrase them — not inventing new ones. Background checks and reference calls surface fabrications reliably, and a single one ends the process.
